How to use these free seating chart templates
Blank on purpose
All four PDFs are empty. Download the one you need, print it at home or send it to a print shop, and write the names by hand or with a label maker. Nothing is uploaded and there is no account: the file is generated in your browser the moment you click.
Seating chart poster (A3 or A2)
Choose 8, 10 or 12 tables and 8 or 10 seats per table, then the paper. A3 suits up to about 60 guests and fits a standard frame; A2 is the size most print shops expect for an easel at the entrance. Write the couple's names on the top line, then fill one block per table. Leave the seat numbers blank if guests choose their own chair, or use them if you also print place cards.
Place cards (10 per sheet)
Print on 160–250 gsm card, cut along the dotted lines and fold on the dashed line. Each card has a name line on both faces, so it reads from either side of the table. Ten cards per sheet: a 100-guest wedding needs ten sheets.
Table numbers 1 to 20
Four A6 cards per sheet, five sheets, numbers 1 to 20. Cut them out and stand them in a card holder or against the centrepiece. If your venue uses table names instead of numbers, print the poster and place cards and skip this one.
Alphabetical guest list
Three ruled pages with Name, Table and Seat columns, about 90 rows. Sort your spreadsheet by last name before copying names across, and keep one copy at the welcome desk and one with the venue coordinator, who will be asked 'where am I sitting?' more often than you.
Before you print
- Print a test page at 100% ('actual size'), not 'fit to page', so the cut lines land where they should.
- Write in pencil first: the seating plan changes until the last RSVP.
- For more than 12 tables, print the poster twice and split the tables across two boards.

- What size should I print the seating chart poster?
- A3 for up to about 60 guests or a framed chart on a table; A2 for 60 to 120 guests on an easel. Above 120 guests, the A1 poster in the print pack is the right size.
